Volunteer Agreement
As a volunteer I confirm I have read the general policies and expectations below, and agree to represent iWIST in a positive manner while volunteering.
IWIST Volunteer General Policies and Expectations:
Section 1 – General Policy
iWIST is a volunteer organization. Volunteers should not expect compensation for their donated time but approved expenses will be honoured.
Section 2 – Responsibilities and Expectations
As a volunteer, I agree to demonstrate ethical conduct:
a. Through words and actions, the spirit of collegiality, leadership and ethics
b. Treat others with respect and refrain from negativity
I will notify iWIST (volunteer@iwist.ca) as soon as possible if I am no longer able to volunteer as expected.
Section 3 – Confidential Information
As a volunteer, you may have access to confidential or proprietary information during the course of your voluntary service.
You agree to not publish, communicate, divulge or disclose to any unauthorized third party or parties any confidential information, without the prior written consent of iWIST.
You understand the use of any confidential information is limited to iWIST activity.
Section 4 – General Volunteer Policies
Privacy
The Privacy & Protection of Personal Information Policy applies to all who associate with the Island Women in Science and Technology. In adherence to the Personal Information Protection and Electronic Documents Act (PIPEDA), this policy ensures the privacy and protection of volunteer’s personal information.
iWIST is committed to protecting the privacy of personal information of all stakeholders in the organization including volunteers. This is in accordance with federal government privacy legislation to ensure the collection, safeguarding and appropriate disclosure of personal information. Pursuant to this policy, all individuals have the right to their own personal information stored and used by iWIST.
Volunteer Responsibilities
It is the responsibility of volunteers to provide or decline consent for the collection of their personal information.
iWIST Responsibilities
iWIST collects and uses personal information from volunteers to support program delivery and for the following specific reasons:
Volunteer application/recruitment process
Maintaining contact with volunteers to ensure coverage of shifts and responsibilities and letting opportunities be known to volunteers
Satisfying statistical reporting requirements (such as locations of volunteers) detached from personal identifiers
Accommodate volunteers with disabilities, illnesses and/or injuries
Support ongoing training and development
Updating volunteers of organization activities & events
For all these and any purpose, it is the responsibility of the organization and volunteer supervisors to request consent for a new use of personal information.
The organization is expected to only disclose specific information as dictated by funding requirements and where applicable by provincial and federal law. No information will be disclosed without prior consent from volunteers except for information made anonymous. If differing from the “Information Storage” procedure, it is the responsibility of volunteer supervisors and iWIST executive to determine how long they will retain volunteer information after the volunteer has ceased their engagement with the organization
Resignation
The Resignation Policy applies to all who associate with the Island Women in Science and Technology. To ensure that clear and reasonable notice is provided to iWIST by volunteers voluntarily ending their engagement.
Volunteers have the right to resign, verbally or in writing to iWIST board or Volunteer Coordinator. All volunteers have a responsibility to give iWIST as much notice as possible that they will be ending their placement to allow time for alternative arrangements to be made or to schedule additional volunteers to fill the position. Volunteers are not obligated to provide a reason for resignation.
Volunteers who wish to resign from their volunteering position should notify the volunteer coordinator or iWIST board with at least 2 weeks’ notice. Failure to follow this policy may result in the disruption of services at iWIST.
